We’ll do everything we can to meet your expectations. To help with that, it’s important that you know what to expect from us. This is outlined, among other things, in these terms and conditions.

We’re excited that you’re traveling with Machu Picchu Travel! We will do everything we can to meet your expectations. To make that possible, it’s important that you know what to expect from us. That information is included in these terms and conditions.We admit: this may not be the most thrilling read, but it’s important to read it carefully. By booking with us, you agree to these terms.

As a travel organization, we are legally required to provide travel terms and conditions and inform you of their existence. When you book with us, we include a link to these terms in your booking confirmation. By reviewing your booking confirmation, you indicate that you agree with the booking and these travel terms.

Booking

Bookings can be made by phone or email. We require your full names, date of birth, and passport number exactly as shown in your passport. Within 48 hours of booking, you will receive a booking confirmation showing the total cost of the trip and payment details. We do not charge any booking or reservation fees.

Payment

The deposit must be paid as soon as possible and is at least €250 per person. Until we have received your deposit or proof of payment, we will not purchase Trail tickets. The deposit secures your Inca Trail tickets and access to Machu Picchu.

The remaining balance must be paid no later than the date stated in your booking confirmation and invoice. If you book less than six weeks before departure, the full amount must be paid immediately. Any extra costs or issues arising from late payment are your responsibility.

In some cases, a higher deposit may be requested. The exact deposit amount will always be stated in the booking confirmation and invoice.

If payment is not made on time, we will send a reminder. If payment is still not received, we may have to cancel the booking, according to the cancellation policy below.

Cancellation

Within 24 hours
You can cancel your booking within 24 hours by email at no cost.

After the deposit
Once Inca Trail tickets and Machu Picchu access tickets have been purchased, they cannot be canceled, and the deposit is non-refundable.

If you cancel after paying the deposit, the following applies:

  • Cancellation from 24 hours after booking up to 30 days before departure: deposit is forfeited
  • Cancellation within 30 days of departure: full trip cost is due

Travel and Cancellation Insurance

We strongly recommend taking out travel insurance with worldwide coverage and medical expenses included. This is important in case of injuries or accidents during the Trail.

If you cannot travel due to serious circumstances, you may receive compensation via your cancellation insurance. We recommend taking out this insurance in addition to your travel insurance. If you must interrupt the Trail early, compensation may be available for unused days or medical costs. Please consult your insurance company for details.

Vaccinations

No vaccinations are required for Peru, but the GGD (Dutch) advises vaccines for Yellow Fever, DTP, and Hepatitis A. We also recommend bringing altitude sickness medication.

Our Obligations

We are committed to ensuring the trip follows the travel program. If unforeseen changes occur before the trip, we will inform you immediately. Before departure, you will receive practical and detailed travel information by email and during the briefing.

If we fail to meet our obligations and you suffer damages, compensation is limited to a maximum of the trip cost. We are not liable for matters beyond our reasonable control, including incidents covered by normal travel insurance.

Changes and Cancellation of the Trip

We reserve the right to cancel the trip in cases of unforeseen, serious circumstances (e.g., natural disasters). We will seek a suitable alternative. If alternatives are unsatisfactory, and the trip is more than 30 days away, the full amount will be refunded. For trips within 30 days, we will try to find an appropriate alternative. Only unused services not yet purchased can be reimbursed.

Route adjustments may be necessary due to unforeseen circumstances. If we are aware before departure, we will inform you. During the Trail, we will try to find solutions on-site if changes occur.

Your Passport

You must provide us with your full names, date of birth, and passport number to complete your booking and purchase tickets. You are responsible for having a valid passport at departure and for bringing the passport used to book the Trail. If you replace your passport before travel, request your old passport from your municipality. If you no longer have it, a copy is sufficient. Any costs arising from not having a valid passport or the one used for tickets are your responsibility.

You are also responsible for ensuring your details on the booking form are correct. Refunds are not possible for errors, and any costs for amending or reissuing tickets are your responsibility.

Personal Data and Privacy

You share personal data with us, including full names, date of birth, and passport number. We handle this carefully! We use this data to issue a booking confirmation and share it with our local partner in Peru to purchase tickets. Ticket and passport together provide access.

We ensure partners only receive necessary data. Personal data is protected with antivirus measures.

Data retention:

  • Email correspondence with passport data: deleted after 1 year
  • Booking confirmations with passport data: deleted after 7 years

We retain booking data slightly longer for accounting purposes.

Requests to modify or delete your data can be made via email. We will delete the requested data and inform our local partners. Complaints about our data handling can be filed with the Dutch Data Protection Authority.

Good Physical Condition

You must be physically and mentally capable of completing the trip. If not, costs for early termination or adjustments are your responsibility. We expect you to review information on our website (daily programs and packing list) and our pre-trip tips.

Dissatisfaction During the Trip

Situations abroad may differ from home. Despite our best efforts, things can go wrong: power outages, no hot water, overbooked hotels, blocked roads, etc. Flexibility is required.

We work with local organizations, guides, and cooks who follow our arrangements. If problems arise during the trip, notify your guide or local contact immediately for the fastest resolution.

Dissatisfaction After the Trip

If issues remain after the trip, contact us by email or phone. We will do our utmost to find a fair solution. If you are still dissatisfied, you may pursue legal steps if reasonable resolution cannot be reached.
